Welcome to Thompson Rivers University (TRU). This guide explains the essential technology, tools, and services available to all TRU employees.
It covers how to access your TRU account, connect to Wi-Fi, use Microsoft 365 tools, access shared drives, and find support through the IT Services Portal. Each section includes links to detailed Knowledge Base (KB) articles for setup and troubleshooting.
Account details for new employees are sent to the department once People & Culture and Payroll have completed the onboarding process. If you haven’t received your account information, confirm with your Department Contact, Coordinator, Administrative Assistant, or Manager that all onboarding paperwork has been finalized.

TRU Computer Usage Best Practices & Policies
All TRU employees are responsible for using university technology in a secure and professional manner. Following these best practices helps protect university data and ensures compliance with TRU’s Information Security policies.
Before using TRU systems
Key reminders
- Never share your passwords or leave your computer unlocked when unattended.
- Store work files in approved TRU locations such as OneDrive or departmental O: Drives, not on personal USB drives or other cloud services.
- Report any suspicious emails or security concerns immediately through the Report Phishing option in Outlook or by contacting the IT Service Desk.
These guidelines apply to all employees, whether working on campus, remotely, or on university-managed mobile devices.
Accounts & Access
Accounts & Sign-In (First Time Login & Password Setup)
All employees receive a TRU network account that provides access to systems such as Microsoft 365, OneTRU, Wi-Fi, and VPN.
Account details are sent to your Department Contact, Coordinator, Administrative Assistant, or Manager once People & Culture and Payroll complete your onboarding process.
Your TRU account may use slightly different login formats depending on the system:
- TRUEmployee.tru.ca: Use your username only (the first part of your email address). Example:
jsmith
- Microsoft-linked services (Office 365, Adobe, Moodle, and other single sign-on systems): Use your full email address. Example:
jsmith@tru.ca
Before using any services, you must change your temporary password.
Default Password: TRUddmmmyy (use your your date of birth for ddmmmyy, e.g. TRU03sep91)
If you have not received your account details or cannot log in, contact your Department Contact. If they have not received your information either, ensure your on boarding paperwork has been completed with People & Culture.

Remote Access (VPN)
The GlobalProtect VPN lets you securely connect to TRU’s internal network from off campus to access systems that are not available over the internet.
When you need VPN
- O: Drive and other shared network folders
- Banner, FAST, and internal administrative systems
- Certain secure web applications linked from OneTRU
You do not need VPN for Outlook, Teams, OneDrive, or SharePoint.
How to connect
- Install the GlobalProtect VPN client.
- Log in with your TRU email address and network password.
- Approve the connection using Microsoft MFA (MFA setup).

Communication & Collaboration
Microsoft 365 (Email, Calendar, and Apps)
All TRU employees have access to the full Microsoft 365 suite, which includes Outlook, Word, Excel, PowerPoint, OneNote, Teams, OneDrive, and SharePoint. These tools allow you to communicate, collaborate, and access your files securely from anywhere.
Login information
- Sign in with your full TRU email address (e.g.,
jsmith@tru.ca) and your TRU network password.
- You may be prompted to approve the login through Microsoft Authenticator (MFA) when signing in off campus or on a new device. Setup: Microsoft Authenticator (MFA)
Access options
Install on personal devices: Install on up to five desktop and five mobile devices using your TRU credentials.

OneTRU and TRUConnect
OneTRU is TRU’s central intranet and collaboration platform (Microsoft SharePoint). It’s the hub for internal communication, departmental resources, and campus information.
- Access announcements, policies, and forms
- Collaborate on shared documents and projects
- Visit departmental hubs like People & Culture, Finance, Facilities, and others
- Use QuickLinks for systems like Banner, FAST, and other services
Access: onetru.sharepoint.com (sign in with your TRU email; Microsoft MFA may be required). Some links may require VPN.
TRUConnect is TRU’s internal news feed, available on OneTRU and as an app in Microsoft Teams.
Telephones and Voicemail (Mitel and Microsoft Teams Phones)
TRU is transitioning from Mitel desk phones to Microsoft Teams Phones, which enable calling through the Teams app on your computer or mobile device.
Microsoft Teams Phones (New System)
Teams Phones use your TRU phone number and are integrated into Microsoft Teams. For details: Welcome to MS Teams Phone: FAQ.
Mitel Desk Phones (Legacy System)
Some employees may still use Mitel during the migration. Instructions: Mitel Phone System Category.
The migration to Microsoft Teams Phones is expected to complete by the end of 2025.
Connectivity
Wi-Fi (Eduroam)
TRU’s primary wireless network is Eduroam, a secure, international Wi-Fi service. Once connected, your TRU credentials will also work at other Eduroam-enabled campuses worldwide.
Connection format
- On TRU campus: Use your TRU username only (e.g.,
jsmith) — do not include @tru.ca.
- At other Eduroam institutions: Use your full TRU email address (e.g.,
jsmith@tru.ca).
Best setup method (mobile)
Manual connection (laptops/desktops): Follow the device-specific steps in the Campus Wi-Fi Knowledge Base Article.
Troubleshooting
- If your connection fails, select Forget Network and reconnect.
- Ensure your device’s date and time are correct — mismatches can prevent authentication.
Printing
Printing (Ricoh & PaperCut)
TRU uses Ricoh multifunction printers across campus. Printing is managed through PaperCut for tracking and secure release.
Getting access
Your Department Contact, Coordinator, Administrative Assistant, or Manager must ensure your TRU account is added to the correct PaperCut account. If you see “No Credit Available”, have your department contact reach out to the TRU Print Shop to update your access.
Printing options
Secure and batch printing
PaperCut supports secure print release for confidential documents. Large print projects such as exams, reports, or course materials should be sent to the TRU Print Shop.

Storage
Storage (OneDrive, H: Drive, O: Drive)
TRU provides secure file storage options to help employees save, share, and access work documents from anywhere.
OneDrive (Recommended)
All employees have access to Microsoft OneDrive for secure cloud storage. Each employee receives 1 TB of storage. Access via File Explorer, Finder, or onedrive.live.com. OneDrive is available on and off campus — no VPN required.

O: Drive (Departmental Shared Drive)
The O: Drive remains active for departmental or team files. Access may require approval: Network Share Access Request. Off-campus access to the O: Drive requires VPN (see Remote Access (VPN)).
H: Drive (Legacy Personal Network Drive)
The H: Drive is being phased out and will be permanently discontinued on December 19, 2025. Employees hired after May 2025 use OneDrive as their primary storage instead of H: Drive. Faculty Tools & Support
Moodle (Learning Management System)
Moodle is TRU’s platform for course content, assignments, and communication.
How to sign in:
- Go to moodle.tru.ca.
- Select the Microsoft sign-in option if prompted.
- Enter your full TRU email address (e.g.,
jsmith@tru.ca) and TRU network password.
- Approve the sign-in with Microsoft Authenticator (MFA) if prompted (setup help).
Most term-based courses are created automatically. Instructors can upload content, manage grades, and communicate with students.

Classroom and Lab Support
Online Teaching Tools (Kaltura, Teams & Zoom)
TRU supports Microsoft Teams and Zoom for teaching, meetings, and office hours. Both use Single Sign-On (SSO) with Microsoft MFA.
