If I don't have Microsoft Outlook installed on my device, how can I access my email?

Open https://outlook.office.com/mail/ and sign in with your TRU credentials to access Outlook Webmail

How big of an attachment can I send in an email?

We recommend using OneDrive or Teams for sharing files whenever possible. Using one of these apps reduces the number of copies of the file floating around in a lot of different mailboxes, and is much more secure.

However, if an attachment must be sent from your Microsoft 365 mailbox, then attachment sizes limit is approximately 35MB. Note that this only applies to emails sent or received internally. External recipients may have lower or higher attachment size limits, but TRU Email will only accept attachments of about 35MB.

How many shared mail accounts can I have at once?

We recommend having no more then 10 total mail accounts on your Outlook profile at once. More than 10 mail accounts will cause your Outlook to run much slower.

If you require more than 10 mail accounts please contact the IT Service Desk so that we can assist you in setting up your Outlook with more accounts.

How do I create new distribution lists?

To request a new distribution list be created for you, submit a Distribution List request.

How do I delete remembered (cached) email addresses?

There are two different ways that you can delete the saved/cached versions of email addresses. It is possible to delete these entries individually or delete the whole repository. You may have to follow the instructions below if you meet one of the following:

You have updated a contact email address in your contacts
A TRU staff member has had a change in name
- By default an alias is added to staff accounts, so in this instance your email will still reach its destination, but their display name will be the old name
You regularly email someone, but have not added them to your contacts

Delete Individually

In a new email type the address you wish to delete
Outlook will show options underneath
Hover your mouse over desired address and click delete option to the right

Delete Entire Nickname Cache

Please Note: When deleting your entire nickname cache this will delete all suggested email addresses being held. This includes email addresses that you may use that are not in your contacts. If you are unsure about this, please follow the instructions above to delete them as needed.

Open Outlook
Click on File
Select Options
Select Mail
Scroll down and click Empty Auto-Complete List
Click Yes when prompted Are you sure you want to empty the Auto-Complete list?
Click OK to close Outlook Options
