Does everyone need building keys?

The need for keys depends on your job duties.

  • Many employees do not require keys to carry out their work.
  • Some employees may only need occasional or seasonal access.
  • If your work is normally done during regular business hours, a key to your office may be all that is required. 
  • Employees who routinely and frequently access locked spaces may be issued additional keys.

Why not use electric locks?

The current key system is at capacity and must be replaced. While electronic locks are an option, they are significantly more expensive than conventional locks.

Can Deans and Directors approve their own key requisition?

No. Key holders cannot approve their own requisitions. There must always be at least one level of separation between the requester and the approver. This follows the same principle as travel claims, P-cards, and petty cash.

Can a department keep keys for future employees?

No. Keys cannot be held by a department once an employee leaves.

  • Keys are assigned to individual employees only.
  • Failure to return keys may affect your ability to receive keys in the future.
  • Each employee is responsible for keeping their keys safe and returning them when no longer required.

Can I label my keys?

No. For safety reasons:

  • Keys must not be labeled with the specific doors they open.
  • Keys must not be written on or marked in a way that covers the stamped key number.
  • If you need to tell keys apart, use key covers instead of labels.
