Overview
When you record a meeting in Microsoft Teams, the recording is stored in Microsoft OneDrive or SharePoint. This guide explains how to locate and manage your recordings.
Recording from Calendar and Chat Meetings
If the meeting was created from Outlook Calendar or from a chat that is not part of a Team (i.e., from the Chats section):
- Open Microsoft Teams.
- Click Files on the left panel.
- Click My files on the left.
- If you have any Teams recordings that are not associated with a Team, look for a folder called Recordings.
- The Recordings folder is automatically created when a meeting is recorded. If you do not see it, you do not have any saved recordings.
- Inside the Recordings folder, you will find an MP4 file for each recorded meeting.
Important Notes:
- Live transcripts/captions are not included in the recording and are not available for download.
- Sharing Recordings: Other participants in the meeting automatically get access if the meeting was created in a chat they were part of.
- To share the recording with others:
- Click Open in OneDrive.
- Select the file and click Share at the top.
- Enter the email addresses of the people you want to share it with.
- Note: The recording does not appear in the Files section of the chat where the meeting started.
Recordings from Teams Channel Meetings
If the meeting was started within a Team channel (e.g., by clicking "Meet" in the upper right of a Team):
- Open Microsoft Teams.
- Go to the Team channel where the meeting took place.
- Click the Files tab at the top.
- If you have any recordings for that Team channel, you will find them in a folder called Recordings.
- The Recordings folder is automatically created when a meeting is recorded. If you do not see it, you do not have any saved recordings.
- Inside the Recordings folder, you will find an MP4 file for each recorded meeting.

- Sharing Recordings:
- All members of the Team channel automatically have access to the recording.
- The recording file is stored under the Files tab of the Team channel.
Managing Recordings in Microsoft Stream
Microsoft Teams recordings are automatically stored in Microsoft OneDrive (for private meetings) or SharePoint (for Team channel meetings). However, you can manage and organize them in Microsoft Stream, which allows you to:
- Edit video titles and descriptions
- Add captions and transcripts
- Set permissions for sharing and access
- Organize recordings into channels for easier navigation
How to Access Your Teams Recordings in Microsoft Stream
- Go to Microsoft Stream and sign in with your TRU credentials (@tru.ca).
- Click on My Content > Meetings to see your recorded meetings.
- Select the recording you want to manage.
- Click More options (•••) to rename, download, or adjust settings.
Sharing a Recording from Microsoft Stream
- Open the recording in Microsoft Stream.
- Click the Share button.
- Select whether to share via link, email, or embed on a website.
- Adjust viewing permissions as needed.
