New Employee Accounts and Getting Started at TRU

The IT Service Desk will notify your Departmental Secretary or Supervisor with a Service ID Ticket Number when your TRU Employee Account is ready and the tickets have been submitted for Network and Outlook Email account creation. IT Services receives the required information to create New Employee Accounts after your New Hire paperwork is processed by People & Culture and Payroll.

You may contact the IT Service Desk with the ticket number provided to obtain your TRU Account Username and Password. You will be provided with instructions or guided through setting up a new password for your account.

Email Accounts are provided in a "username@tru.ca" format and are compatible with Microsoft Outlook for Desktop and Mobile Devices. You may also access your email through Outlook Webmail.

• Microsoft Outlook is installed on University Computers, you may download and install Outlook on personal devices using your @tru.ca Office Account.
• Access to your emails through a web browser can be completed through the Office365 Outlook Web App.
• Public Folders like the Ecom Staff List and your corresponding group list (Ecom CUPE, Ecom Faculty, or Ecom Admin):
  • Find job postings, current events both on campus and in the community, and classifieds.
  • To submit an item to the staff list, send an email to staff@tru.ca
  • Adding Public Folders to Outlook

Each employee is provided with network space to save data. It is highly recommended that you save your files to either H:\ or O:\ drive locations as outlined below. Network File Shares are automatically backed up to prevent file loss.

• H:\ Drive - private personal network space accessible only to the employee
• O:\ Drive - basic access for departmental or shared network space
  • If you require access to departmental shared network folders, or access to other system applications, have your Supervisor complete an Applications and Systems Access Request (ASAR) form.

At TRUemployee you can find out information about important campus announcements, timesheet submission and approvals, tax and paystub information, leave balances, and benefits. In addition, you can purchase items online using a Web Requisition function and access financial information through FAST. Please visit TRUemployee for more. 

TRU’s preferred application for a learning management tool is Moodle. Please contact moodlesupport@tru.ca for more information and training.

On campus calls are four-digit dials called a "Local". To dial external numbers, first dial 9.

If you press 7* on a campus phone you will be able to access voice mail. You can also access the voice mailbox from other campus phones by pressing 7*, waiting for the attendant, then press **. Additionally, you can access your voice mail from off campus by calling your full ten digit number, and when the greeting starts press the * key. The system will then ask for your password.

You can access the the TRU Employee Telephone Directory by visiting https://webapps.tru.ca/telbook/ or open your File Explorer to O:\TRU Share\Telbook and copy the link to your desktop.

A New Employee with an Office Desk Phone will need to have a Telbook Update Request submitted through the IT Services Portal to assign the phone to the employee and update the Telbook Directory.

The Portal will send submitted requests directly to the Telecommunications Team for processing.

Only Divisional Secretaries, Managers, or Administrative Assistants can request Telbook Updates on the IT Services Portal. Contact the person responsible in your Department. If you visit any link to the Telbook Update Service and are unable to see or request the service - you are not listed in an employee group that has access. If you believe this is in error, please Contact the IT Service Desk.

A leased computer is provided to each TRU on-campus employee. These computers are replaced every four years. You will be advised in advance when your computer is scheduled for replacement.
